Microsoft Office

This is an excerpt from the paper...

Today, computers are an integral part of nearly every industry and occupation, and professionals must be proficient in using computers to enhance their day-to-day job performance. Such proficiency is particularly important when using computers to assist in organizing and communicating information. Increasingly, organizations are relying on electronic mail to send information from one location to another. Entire presentations can be sent via e-mail to individuals located across the hall or across the world, and printed documents can be prepared on economical color printers which greatly enhance their impact. To be effective, computer tools must be easy to use so that they do not take an inordinate amount of time to learn, and so that users are not taken away from their primary responsibilities for extended periods. This research examines a popular "suite" of software, Microsoft Office, and considers its effectiveness in a professional environment with multiple users of the software.

When personal computers were initially introduced, software was available on a task-by-task basis: users would purchase application software (such as a word processing program and a spreadsheet program), often from two different vendors, and use each program without consideration as to whether data could be shared or whether there was compatibility among the two programs. During that time, users would accept the limitations that the various programs imposed and

the user might type two capital letters in a row, or capitalizing the first word of sentences) which will prompt Word to fix the problem without any additional user action. Another feature introduced in Word 97 is the versioning option. This permits users to track different versions of the same document. Each version is saved with the date and time it was modified, and users can easily see what changes have been made to the document at each stage. This feature can be particularly useful when multiple users are likely to work on the same document since previous versions are not "lost" but can be maintained on the system and easily retrieved (Bethoney, 1996, p.ß104). Microsoft Word has competed with Word Perfect (now part of the Corel suite) for dominance of the word processing market since both were created for DOS. This competition heated up in the Windows environment, and users of one product tend to be passionate about the superiority of "their" product over the other. The features offered by both word processing programs are comparable, although the keystrokes required to achieve the same result vary from one program to the other, and users may be satisfied that either program provides considerable power and versatility f
